Office Printer Printing Blank Pages: Causes and Fixes

A printer that feeds paper but produces blank pages is either failing to transfer toner or receiving a job it can't interpret. The distinction matters, because one calls for a consumable or service visit and the other for a configuration change. An internal test page tells you which.

Applies toOffice laser printers and multifunction devices, including fleet devices on a service contract. Inkjet notes are included at the end.

The deciding test

Print a configuration or test page from the printer's own control panel, not from a computer. That page is generated inside the printer, so it bypasses drivers, the network and the application entirely.

  • Test page is also blank or very faint: the cause is in the printer. Work through the hardware steps.
  • Test page prints correctly: the printer is fine. The cause is the driver, the document or the queue. Go to the software steps.

Hardware causes

  1. Check the toner cartridge

Remove the cartridge and check that all packing tape and protective seals have been removed, which is a common problem immediately after a replacement. Confirm the cartridge is seated fully and is the correct model. Check toner levels from the printer's status menu or embedded web page.

  2. Check the drum or imaging unit

Many printers use a separate drum or imaging unit with its own lifespan. An exhausted or incorrectly installed drum causes blank or faint output even with a full toner cartridge. The printer's supplies status page normally shows remaining life.

  3. Record any error codes

If consumables are fine and test pages are still blank, the fault is likely mechanical or electrical, such as a transfer or high-voltage component. Note the model, serial number and any error codes, and log a call with the device's service provider or leasing company. Don't open internal panels beyond what the manufacturer documents for user maintenance.

Software and configuration causes

  1. Check for blank separator pages

If a blank page appears before or after every job rather than replacing it, a separator page may be configured on the queue. Check Printer properties → Advanced → Separator Page on the client or the print server.

  2. Test a different document and application

If only certain files print blank, the problem is how that document is rendered. PDFs with complex graphics, transparency or unusual fonts are common examples. Try printing the file from a different PDF reader, or use the reader's Print as image option as a temporary workaround.

  3. Match the driver to the printer

Sending PostScript to a device that only understands PCL, or the reverse, can produce blank or garbled output. Make sure the queue uses the manufacturer's driver for that exact model, or its universal driver in the correct language. Generic “Microsoft” drivers chosen automatically are a frequent cause.

  4. Clear and restart the queue

A corrupt job can cause the next jobs to print incorrectly. Cancel all documents, restart the Print Spooler service, and send a short test document.

Inkjet devices

On inkjet printers, blank pages usually mean empty cartridges or clogged print heads. Run the device's built-in nozzle check and head-cleaning cycle. Repeated cleaning uses a lot of ink; if two cycles don't help, the head or cartridge needs replacing.

Frequently asked questions

Why are pages blank only from one computer?
That points to the driver or application on that computer. Compare its driver with a computer that prints correctly.
The printer is on a lease. Should we fix it ourselves?
Replace consumables as the lease allows, but log any hardware fault with the leasing company. Third-party repairs can affect your service agreement.
Can a firmware update cause blank pages?
Occasionally. If the problem started straight after an update, check the manufacturer's release notes and contact their support.
